Check location, layout and building access

Identify hidden costs before signing

Compare office options with greater confidence

Viewing an office is not just about whether the space looks nice. Businesses should check the layout, accessibility, building systems, air-conditioning, internet readiness, reinstatement condition and total occupancy cost before making a decision.

This guide provides a practical office viewing checklist for Singapore companies before signing a commercial lease.

1. Location and Accessibility

Start by assessing whether the office location works for your team, clients and daily operations. MRT access, bus routes, parking, nearby amenities and travel time can all affect staff convenience and business productivity.

A lower rental office may not be ideal if the location creates inconvenience for employees, clients or business partners.

2. Layout Efficiency

Look beyond the floor area. A 2,000 sqft unit with an efficient layout may be more useful than a larger office with awkward corners, excessive corridors or poor column placement. Check whether the space can fit your team, meeting rooms, pantry, storage and future headcount.

3. Existing Fit-Out Condition

A fitted office can save renovation time and cost, but only if the existing layout suits your business. Check the condition of flooring, ceiling, lighting, partitions, meeting rooms, pantry, cabling and furniture before assuming the fit-out is usable.

4. Air-Conditioning and Operating Hours

Air-conditioning is one of the most overlooked items during an office viewing. Businesses should check whether aircon is central or split-unit, the standard operating hours, after-hours charges and whether the cooling is sufficient for the unit layout.

5. Lift Access and Building Flow

Lift access can affect staff and client experience, especially in busy office towers. Check lift waiting time, security gantry access, visitor registration, loading arrangements and whether the unit is conveniently located from the lift lobby.

6. Internet, Power and IT Readiness

Confirm whether the office has sufficient power points, data points, server room provision, fibre readiness and space for IT equipment. These details can affect setup time and renovation cost.

Do Not Judge the Office by Photos Alone

Photos can make an office look better than it feels in person. A physical viewing helps you assess natural light, noise level, lift access, air-conditioning performance, building condition and whether the layout genuinely works for your team.

Check Total Cost, Not Just Rent

During the viewing, ask about GST, service charge, utilities, after-hours aircon, car park charges, renovation requirements and reinstatement obligations. These items can affect the true cost of the office.

Questions to Ask During an Office Viewing

  • • What is included in the rental?
  • • Is GST payable?
  • • What are the standard air-conditioning hours?
  • • How much is after-hours aircon?
  • • Is the office bare, partially fitted or fully fitted?
  • • What reinstatement is required at lease end?
  • • Are there renovation restrictions?
  • • Is parking available?
